Build the approval pack
Record the purpose, proposed dates, route, participant count, supervisors, emergency contacts, consent process and total cost assumptions. The institution should decide its own approval, safeguarding and supervision requirements; a tour operator cannot replace those responsibilities.
Control the participant list
Use one authorised coordinator, a final attendance list and a clear deadline for changes. Record dietary or mobility needs through an appropriate private process. Avoid circulating identity documents in open chat groups.
Set group rules before departure
